Owning the Fulfillment Platform

Custom kitting and fulfillment platform

A healthcare manufacturer's kitting operation depended on rented software that charged per order and capped growth. Nexkara built an owned fulfillment platform around the real workflow, which cut the cost of every kit and let the client run twice as many production lines.

  • $3-4

    Saved per kit

  • 4

    Production lines, up from 2

The challenge

Kitting is a core revenue driver for the client, yet fulfillment ran on third-party software. They paid per-order fees for a system they did not control, the platform's limits held back volume, and the dependency steadily eroded margins.

What Nexkara built

One operational platform covering the whole fulfillment flow:

  • Direct order intake
  • Secure paperwork generation
  • Connections to shipping carriers
  • Automated labeling
  • Fulfillment procedures
  • Quality-control monitoring

Results

  • Processing 100 kits dropped from about 1 hour 45 minutes to about 1 hour.
  • Active production lines grew from 2 to 4.
  • Quality control held a 100% pass rate over four months.
  • Cost per kit fell by roughly $3 to $4.

Controlled Production Documents

Document control system

A regulated kitting operation managed production documents on shared drives and email, with a real risk of printing the wrong version into thousands of units. Nexkara built a document control system that always serves the current approved version, backed by a full audit trail.

  • Zero

    Wrong-version incidents

  • Instant

    Access to the approved version

The challenge

Versions were tracked by filename and by memory, and approval history was hard to verify. In an operation that produces thousands of kits, one outdated document could be printed into every unit. There was no formal approval step and no audit trail.

What Nexkara built

A document management application that acts as the single source of truth for production documents:

  • Version control with full history
  • Approve and reject workflow
  • Comments
  • Role-based access
  • Security hardening
  • Audit trail

Results

  • Zero wrong-version incidents since adoption.
  • Finding the approved version went from minutes of searching to instant.
  • Email approval chains are gone.
  • Teams can add new kits, carriers and document types without extra coordination.

Why it matters. Generic file storage can hold documents but cannot enforce an operation's own approval, versioning and usage rules. Enforcing those rules is where the value lies.
